Vivium, member of the P&V GROUP and the third largest insurance company in Belgium working with brokers, needed in a short timeframe of 6 month to set-up and migrate a multi mullion document archive and make it accessible to its +300 internal users. XeniT successfully set-up a full archiving environment where documents from multiple sources (scanners, mainframe, COLD CD’s, …) are in a continuous process automatically imported and filed based on metadata values. To guarantee high availability of the data stored, XeniT integrated Alfresco with CAStor (www.caringo.com), a content addressable storage solution. The disaster recovery architecture provides for configurable replication of the documents between Antwerp and Brussels.

P&V Infra

The first focus of the project was to migrate the existing +3M documents into the new archive structure. The large volume of single page tiffs was rendered into a multipage pdf format before it was filed into the new repository. The automated filing, including the generation of the folder structure, was done based on the document metadata. Custom search screens optimize the retrieval of documents from the archive.

P&V Search

A second part of the project contained an automated scanning process to digitalize up to 16.000 pages per day. A full process where paper documents with a front document including hand written filing information is scanned and through ICR and OCR delivered to the archive where it is automatically filed based on the meta-data extracted from the front page.
To cover the requirement of Disaster Recovery a full environment is set up in Brussels, besides the base infrastructure located at the data center in Antwerp, using the Alfresco and CAStor clustering functionalities. 
A growing number of sources provide input streams to the Alfresco repository. Over 5 million documents are archived and more than 500 employees and brokers consult the repository. On average over 130.000 documents are added per month with a peak load of +1 million documents in 14 days.
